Job Description
The employer is seeking a travel and tourism industry professional with specific training in logistics management and motorcoach dispatch. As the manager of this role, the candidate must be a highly experienced person who ensures that everything runs smoothly by scheduling, coordinating with customers, providing precise logistics for drivers to follow along on their routes and specified client itineraries. The candidate will be the point of contact for drivers, as well as the emergency, on-call contact for clients and drivers.
The ideal candidate must be an excellent communicator and able to remain calm and composed, especially in emergency situations. The candidate must be able to multi-task as well as take the appropriate action with little supervision. The goal is to enable different parties to communicate well by ensuring the accurate and timely transmission of information.
Responsibilities
- Receive emergency and non-emergency calls and record significant information
- Address problems and requests by transmitting information or providing solutions
- Receive and dispatch orders for products or deliveries
- Prioritize calls according to urgency and importance
- Use phone and computer to send driver and vehicles to appropriate locations
- Monitor the route and status of drivers to coordinate and prioritize their schedule
- Provide drivers with information about client requirements, traffic and road obstacles
- Enter data in computer system and maintain logs and records of calls, activities and other information
Employment Requirements

- Minimum of 3 years’ experience
- Minimum of high school diploma
- Must be Canadian citizen or permanent resident
- Proven experience as dispatcher or relevant position
- Tech-savvy with knowledge of relevant methods
- Fast typing with experience in data entry
- Knowledge of procedures and guideline for emergency situations
- Proficient in English (oral and written)
- Outstanding organizational and multitasking abilities
- Active listener with excellent communication skills
- Sound judgement and critical thinking

Specific Duties
Scheduling/Dispatch
- Schedules fleet on a daily, weekly, monthly basis. Working with sales department and shop to maximize efficiency.
- Schedules drivers on a daily, weekly, monthly basis, to again maximize efficiency.
- Control driver availability to ensure staffing levels are meet as needed
- Dispatch trips, including working with customers to fine tune details and provide drivers with work tickets
- Be familiar with client requirements for bus age/type, driver needs etc.
- Ensure driver work tickets are accurate and contain all information needed.
- Provide additional resources (maps, information etc.) as needed
- Use Coach Manager dispatch system
- Work in conjunction with sales team to insure transparency regarding coach breakdowns and client communication
Human Resources/Driver Liaison
- Determine staffing levels required to complete work, and ensure that drivers are hired in advance of needs
- Takes an active lead in recruiting drivers and the appraisal process
- Involved in driver discipline as needed
- Maintain DOT drug and Alcohol compliance
- Work with operations on payroll/driver hours questions
- Maintains driver hours spreadsheet and daily dispatch book
Schedule vehicle maintenance
- Work with Shop to schedule vehicles for service, including inspections
- Form and strengthen reciprocal relationships for breakdowns and maintenance.
On call Hours
- As needed. Out of hours emergency contact
- During hours, lead contact for driver in emergency/breakdown. Determine and implement best course of action
